Using HubSpot and Salesforce but syncing data manually?

Salesforce Sales Cloud is an established enterprise CRM platform with a strong focus on sales and an extensive ecosystem. HubSpot, on the other hand, is a modular customer platform with seven integrated hubs: Marketing Hub, Sales Hub, Service Hub, Content Hub, Operations Hub, Commerce Hub, and Data Hub. Many companies use both systems in parallel, for example when HubSpot Marketing Hub runs as a marketing automation layer in front of Salesforce, or when Service Hub and Sales Cloud serve different teams.

The Salesforce Sales Cloud HubSpot Integration synchronizes Accounts, Contacts, Opportunities, and Deals bidirectionally in real-time. Leads from HubSpot Marketing Hub flow as Leads or Contacts to Salesforce, Opportunities come back as Deals, pipeline changes are immediately visible. Custom Objects, products, prices, activities, campaign attribution, and quotes are automatically synced. The native HubSpot-Salesforce connector has limitations in mapping flexibility and Custom Objects, MARINI offers complete control over all fields, complex transformations, and is independent of HubSpot tier.

What use cases does the integration enable?

The integration connects marketing, sales, and service on a data foundation. Here are six typical scenarios that companies implement daily.

Automatically pass leads from HubSpot Marketing Hub to Salesforce. Qualified leads with scoring, activity history, and campaign touchpoints flow directly to Salesforce. Sales works with complete lead intelligence, marketing proves ROI through closed opportunities.

Synchronize opportunities and deals bidirectionally. Won opportunities in Salesforce appear as closed deals in HubSpot, pipeline changes are immediately visible in both systems. Marketing tracks revenue attribution, sales works in Salesforce without duplicate data entry.

Keep accounts and companies consistent. Company data is synced bidirectionally. What’s called Account in Salesforce is Company in HubSpot. Changes to master data, addresses, industries, or custom fields are automatically synchronized.

Track campaign attribution end-to-end. Which HubSpot campaign contributed to which Salesforce opportunity? The integration connects campaigns, activities, and deals, enabling marketing to make informed budget decisions.

Sync products, prices, and line items. Product catalog, price books, and customer-specific conditions from Salesforce flow to HubSpot. Quotes are calculated with correct prices, line items are consistent.

Consolidate activities and contact history. Emails, calls, meetings, and notes from both systems become visible in one timeline. Sales and Customer Success have a complete 360-degree view of every contact.

From Integration to Results

The use cases on this page are not theoretical, but implementing them requires experience. You can set up integration and data management yourself through MARINI’s no-code interface, or have our team configure it for you. For implementation in your systems, we work collaboratively with you and your service providers. If you don’t yet have a suitable service provider, we’re happy to recommend an appropriate partner from our network.

What does the integration deliver for management and C-level?

For: C-Level, Management, Business Development

Finally make marketing ROI measurable. Which campaigns generate revenue, which burn budget? With end-to-end attribution from HubSpot campaigns to closed opportunities in Salesforce, you see which marketing activities actually contribute to revenue. Budget decisions are based on numbers, not gut feeling.

Pipeline transparency for reliable forecasts. When HubSpot and Salesforce run in sync, you have a consistent view of the pipeline. Opportunity stages, deal values, and close probabilities are identical in both systems. Forecasts are based on a unified data foundation, surprises become rarer.

Scalability without system migration. Many companies use HubSpot Marketing Hub for lead generation and Salesforce for complex sales processes. The integration enables exactly this combination without manually transferring data. You leverage the strengths of both platforms without compromising data consistency.

How does the integration change daily work for marketing, sales, and service?

For: Marketing, Sales, Customer Success, Operations

Marketing sees which leads become customers. Previously, leads disappeared into a black hole after handoff to sales. Now opportunity stages, deal values, and close dates flow back to HubSpot. Marketing teams see which campaigns actually generate revenue and optimize their strategy based on data.

Sales works with complete lead intelligence. When a lead from HubSpot arrives in Salesforce, all relevant information comes with it: lead score, website activities, email opens, content downloads. Sales prioritizes conversations by actual interest, not by chance.

Customer Success knows the complete customer history. Activities from HubSpot Marketing Hub and Salesforce Sales Cloud are consolidated in one timeline. CSMs see which campaigns a customer has seen, which opportunities are open, and which emails were sent. Conversations are more informed, upsell opportunities are identified earlier.

RevOps drastically reduces data maintenance effort. No more manual exports, no Excel lists, no copy-paste errors. Accounts, contacts, and opportunities sync automatically, field mappings are configured once. The team focuses on strategy instead of data hygiene.

How does the integration work technically, and what must IT consider?

For: IT, Development, System Architects, Admins

Understanding APIs and real-time synchronization. Salesforce offers REST, SOAP, Bulk, and Streaming API, HubSpot provides a comprehensive REST API. MARINI uses Platform Events and Change Data Capture for real-time sync from Salesforce, webhooks from HubSpot. Changes are transmitted event-based, not via polling intervals.

Mapping between different data models. Salesforce uses Accounts, Contacts, Leads, and Opportunities. HubSpot uses Companies, Contacts, and Deals. Leads and Contacts in Salesforce are mapped to Contacts in HubSpot, Opportunities to Deals, Accounts to Companies. Field types, picklists, and Custom Objects must be mapped compatibly, otherwise sync errors occur.

Automatically handle conflicts and duplicates. What happens when a contact is changed in both systems simultaneously? MARINI offers configurable conflict resolution: Salesforce leading, HubSpot leading, or time-based. Duplicate checking occurs via email, external IDs, or custom fields before new records are created.

Monitoring, logs, and error handling. Every synchronization is logged, errors become immediately visible. If a required field in Salesforce is missing or a Custom Object isn’t mapped, the integration doesn’t stop completely but logs the error per record. Admins can make targeted adjustments without restarting the entire sync.

Maximum Security and Stability

Business-critical data deserves maximum reliability. At MARINI, security isn’t an add-on—it’s our lived standard. Our security architecture at a glance:

  • GDPR-compliant and legally secured (including Swiss revDPA)
  • ISO 27001-certified data centers
  • Multiple daily backups across multiple locations
  • Incident response and recovery plans
  • Continuous monitoring and personal tech support

This keeps your central data infrastructure stable, protected, and scalable at all times. Together, we’ll find the right integration and tailor it precisely to your requirements.

Frequently Asked Questions about Salesforce Sales Cloud HubSpot Integration

Typically, Accounts are synced as Companies, Contacts as Contacts, Opportunities as Deals, Products, Price Books, Quotes, and Activities. Leads can flow to Salesforce as Leads or Contacts, depending on configuration. Custom Objects are fully supported and can be mapped like standard objects.

Salesforce uses two objects for people: Leads and Contacts. HubSpot uses only Contacts. The integration maps both Salesforce Leads and Contacts to HubSpot Contacts. In HubSpot, the Lifecycle Stage is used to track progression from Lead to Opportunity to Customer. Conversely, HubSpot Contacts can be synchronized to Salesforce as Leads or Contacts.

Yes, Custom Objects and Custom Fields are fully supported. MARINI allows complex field mappings, transformations, and validations. Unlike the native HubSpot-Salesforce connector, there are no limitations on the number or complexity of Custom Objects. All field types can be mapped as long as they are compatible.

MARINI offers configurable conflict resolution: you can define which system is leading or use time-based rules. Conflicts are logged so you can track which change was applied. Alternatively, you can define field-level rules so that certain fields are only updated from one system.

The native connector has limitations in mapping flexibility, Custom Objects, and complex transformations. MARINI offers complete control over all fields, bidirectional real-time synchronization, complex mapping logic, duplicate checking, and is independent of HubSpot tier. Additionally, MARINI is not a HubSpot agency and requires no installation in HubSpot or Azure.

Implementation depends on complexity: number of objects, custom fields, mapping rules, and data volume. Simple integrations go live in a few days, complex setups with Custom Objects and validation logic can take two to four weeks. MARINI offers full-service implementation or co-creation, depending on preference.

MARINI is our preferred partner for HubSpot integrations into complex system landscapes—technically strong, reliable, and ideal for joint projects.
