Using Rights and Roles in DataEngine
This guide explains step by step how to use the role management in your DataEngine. With role management, you can individually control user access and maintain the security standards of your organization. For proper management of your system, we recommend the introduction and observance of an access control concept.
Step 1: Access the Role Management
- Open your DataEngine and go to the top menu bar.
- Click on the Admin menu item.
- Then select Role Management.
Step 2: Adjust Existing Roles or Create New Roles
In the role management, you can adjust existing roles or create new ones.
Step 3: Create a New Role
- Click on Create New Role.
- Give the new role a unique Name.
- Add a Description that explains what the role is suitable for. This helps others understand the purpose of the role.
Step 4: Configure Rights
After saving, you can define which areas users with this role have access to.
- Assign Access on Module Level: Through the rights and role concept, you can detail which modules can be accessed by the role.
- Restrict Actions Within Modules: Within the modules, you can restrict specific actions to control what users can perform inside the modules.
Basically, the following setting options are available:
- All: All users may perform this action.
- Group: Only users assigned to the group to which the record is also assigned may perform the action.
- Owner: Only the person to whom the record is assigned may perform the action.
- Default: If no rule is set, the system default applies, which affects depending on additive or restrictive rights. In the case of additive rights, the default means that everyone can perform the action.
- None: No user may perform the action.
Step 5: Assigning User Rights
You have three options to assign user rights:
- Assignment Within the Role: Within the role, you can specify which users should receive this role. The option to assign the role to a user can be found below the table.
- Assignment in the User Profile: Alternatively, you can select directly in the user profile which role is active for this user.
- Permission Groups: Users and roles can be grouped together via permission groups.
