Setting up an Inbound Email Account in the DataEngine allows you to manage and organize incoming emails. The following guide walks you through the setup steps to ensure your mailbox is optimally configured.
Step 1: Navigate to the Admin Area
- Use the top-right navigation to access the Admin Area.
- Click on “Email” and open the “Inbound Email” menu item.
Step 2: Create a New Mailbox
- Select “New Group Inbound Email Account” to get to the creating menu.
Step 3: Assign a Name
- Give the mailbox a descriptive and readable name that reflects its purpose, e.g., “Sales.”
Step 4: Server Configuration
Authentication Types
- Basic Auth: Requires a username and password.
- OAuth: Use an already configured External OAuth Connection. For more information, refer to the relevant Help Center article: External OAuth Connections.
Server Details
- Mail Server Address: The server address must be provided by your mailbox administrator.
- Protocol: Ensure IMAP is selected.
- Mail Server Port: Verify the port with your mailbox administrator for accuracy.
- Use SSL: Enable SSL for a secure connection.
- Connection String: Usually left blank unless special requirements apply. These are provided by your mailbox administrator.
Folder Configuration
- Monitored Folders: Choose the folder (usually your inbox) to be monitored.
- Trash Folder: Select the folder where deleted emails should be moved.
- Sent Folder: Define the folder where sent emails should be moved.
Email Body Filter Type: Can be left on the default setting “Multi Word Search.”
Step 5: Group Configuration
- Define import functions. Consider whether emails should be automatically imported into the system. Be sure to establish clear criteria to avoid incorrect assignments.
- Decide whether emails should be moved to the trash immediately after import.
Step 6: Test Connection Settings
- Use “Test Connection Settings” to verify your inputs before saving.
- If you encounter an error message, consult your mailbox administrator if needed.
